Information we collect and why

Depending on how you participate, we collect information from you, a parent or guardian, or your school to provide and support our services.

• Contact and registration details, such as names, email addresses, parent or guardian contact information, school, grade, and program selections.
• Account information, test scores, diagnostic answers, coursework, progress, attendance, and tutoring hours to deliver instruction and report results.
• Accommodation requests and information you provide when asking for help.
• Program charges, payment status, transaction references, and school or sponsor billing information where applicable.
• Support messages, school-business correspondence, and technical information involved in operating the services, such as connection information, essential cookies, and server logs.

We use this information for registration, instruction, course access, educational reporting, communication, billing, support, and operating the services. Website analytics tools and online parent-payment processing are not currently configured.

Students and optional accounts

Our student services are intended for high-school students age 13 and older. If you believe a child under 13 has provided personal information, please contact us.

Students may choose to activate an invited learning account for the additional 10-week course. Schools may provide information for a program but are not required to share student records with us. Registration and school-program records may exist even without an activated learning account.

Who receives information

TPA personnel use information to provide and administer the program. For school-sponsored programs, authorized staff at the participating school may receive individual test results and participation reports. Parents or guardians may receive progress information where authorized. Financial sponsorship alone does not authorize access to individual student records.

We also use service providers that support our technology and operations, including external AI tools. Our administrative AI assistant supports voice, chat, and remembered context about schools, sponsors, and events. Information submitted to AI features may be processed by their providers. Please avoid including unnecessary student or sensitive information in those features.

School-provided education records are handled under the applicable school authorization and agreement. We may also disclose information when required by law. This policy does not replace school agreements or authorize unrelated uses of education records.

Live-class recordings

We record live classes so enrolled students can review lessons or catch up on a missed class. Recordings are available to students enrolled in the course during the course and are not public. Students can keep their cameras off. Video, voice, or other participation included in the recorded session may appear in the replay.

Permission to participate in a recorded class is not permission to use a student's image, voice, or testimonial in marketing. We obtain separate permission before publishing an identifiable testimonial or using student media for promotion.

Communications

We send program-related messages such as access instructions, reminders, support replies, and authorized progress reports. We are not currently sending optional promotional messages to students or families. Any future optional marketing will have a separate choice from course registration. We may communicate with school and sponsor representatives about programs and partnerships.

Access, correction, and deletion

You may request access to, correction of, or deletion of your personal information at any time by emailing info@testprepamerica.org. Account holders may also use the learning platform's available account and data deletion controls. We may need to verify your identity or authority to act on a request.

Requests involving school-controlled records may require coordination with the school. Deleting a learning account may end course access and does not necessarily delete separate school, transaction, or legally required records. Contact us for help with information outside your account.

How long information is kept

Retention varies by record and service. Account and educational records may remain after a course ends unless deleted through the platform or in response to a request; we do not currently apply one automatic deletion period to all information. School agreements and applicable legal requirements may set different rules.

Deletion from active systems may not immediately remove backup copies. Contact us if you need information about the scope or timing of a deletion. We may retain statistics that no longer identify individuals, where permitted, to evaluate and describe program outcomes.

Updates to this policy

We will update this page and its date as our services or practices change. Where required, we will provide additional notice or obtain consent before a new use of information. Updating this policy does not override school agreements or applicable rights.
